Privacy notice
Last updated 19 October 2026
This notice covers three things: business outreach emails I send, enquiries and calls with people who contact me, and visits to this website. It explains what personal data I hold, where it comes from, what I use it for and what you can do about it. If you are a client, or I have spoken to you as part of a client engagement, email me for details of how that information is handled.
The short version: I use the business contact details of company directors and LLP members to offer AI advisory services to UK built-environment firms. If you do not want to hear from me, reply with the word remove and I will stop.
Who is responsible
Clear Build Consulting is my trading name. I am Mike Anderson, a sole trader, and I am the controller of the personal data described here. That means I decide how it is used and I am responsible for protecting it.
For any question about this notice or your data, email me at mike.anderson@clearbuildconsulting.co.uk.
If I have emailed you about my services
I contact directors and LLP members of UK built-environment firms, such as engineering, surveying, architecture and environmental consultancies, to offer AI advisory services. This section explains what I hold about you, where it came from and why I think the contact is fair.
What I hold
- Your name and your role, for example director or LLP member.
- Your business email address.
- Details of your firm: its name, company number, registered office, website, published phone number and the type of work it does.
- Short notes on your firm's published work, used to make the email relevant to you.
- A record of the emails I have sent you, any reply you send, and whether you have asked not to be contacted.
I do not hold personal contact details such as a home address or a personal mobile number, and I do not use any special category data.
Where it came from
- The Companies House register. Your name, your appointment as a director or LLP member, and your firm's company details come from the public register.
- Your firm's own public website and business listings. Your firm's website, phone number and published contact details, collected from your firm's website and its public Google Maps listing using Apify tools.
- The Instantly email finder. Instantly takes your name and your firm's web domain and finds your business email address, using its own business contact data and that of its data partners. It then checks the address is deliverable.
Why I use it and the lawful basis
I use this data to contact you about AI advisory services that may be relevant to your firm. The lawful basis is legitimate interests under Article 6(1)(f) of the UK GDPR. I have assessed the balance between my interest and yours, and in summary:
- My interest. Clear Build Consulting needs to find new clients. Firms in the built environment are the market I know from over 20 years in civil engineering and infrastructure.
- Why it is necessary. A director or LLP member is the person who can decide whether advisory work is useful to the firm. A short, direct email to that person is the least intrusive practical way to ask.
- The balance. I use business contact details only, about your professional role, and I only contact directors of limited companies and members of limited liability partnerships, never sole traders or ordinary partnerships. I send a short sequence of no more than three emails, I do not use tracking pixels, and you can stop all contact at any time with a one-word reply. Based on this, I consider that a director or LLP member would reasonably expect an occasional relevant business approach of this kind, and that it does not override your rights.
You can ask me for a copy of the full legitimate interests assessment.
How to opt out
You have the right to object to direct marketing at any time, and I will always honour it. Reply to any email with the word remove, tell me you are not interested, or email mike.anderson@clearbuildconsulting.co.uk. I will stop contacting you promptly, normally the same working day. If you ask, I will also stop contacting anyone else at your firm.
When you opt out, I delete your other details but keep your email address and your firm's web domain on a suppression list. That list exists only to make sure you are not contacted again, and it is not used for anything else.
How long I keep it
- If you do not reply, I delete your details 12 months after my last email to you.
- If you opt out, or ask me to delete your data, I keep the suppression entry described above indefinitely, so that you are never contacted again.
- If you reply and we start a conversation, your details are kept as business correspondence under the next section.
If you contact me
The public pages of this website have no contact form. If you email me, using the link on the contact page or any other way, I receive your name, email address and whatever you choose to include in the message. I use it to reply and to discuss the work you are interested in.
If we speak on a video call, I may record and transcribe it with Fireflies so that I have an accurate note. I will tell you at the start of the call if it is being recorded, and I will switch the recording off if you ask.
The lawful basis is legitimate interests in answering enquiries, or taking steps at your request before entering into a contract. I keep enquiry correspondence and call notes for two years after our last exchange. If you become a client, records are kept for six years after the engagement ends, to meet tax and contractual obligations.
When you visit the website
The website does not set cookies and does not use analytics or advertising trackers. However, three services receive technical data, such as your IP address, when your browser loads a page:
- Vercel hosts the website and keeps server logs to deliver and protect it.
- Google Fonts supplies the typefaces the pages use.
- YouTube supplies the video thumbnail images. Videos only play on YouTube itself, after you choose to open them.
The lawful basis is legitimate interests in delivering the website securely and reliably. Vercel keeps its logs for a short period under its own retention settings. I do not receive or use this technical data to identify visitors.
Who else receives your data
I do not sell personal data or share it with other businesses for their own marketing. The following service providers handle it for me:
| Provider | What it does |
|---|---|
| Instantly | Finds and verifies business email addresses, sends outreach emails and holds replies. The sending mailboxes are Google Workspace accounts that Instantly provides. |
| Apify | Collects firm websites and published contact details from public web pages and business listings. |
| Microsoft 365 | Business email, file storage and records, including the contact list and suppression list. |
| Anthropic (Claude) | AI assistant used to research firms' published work and draft emails. The emails go out under my name and I am responsible for them. |
| Fireflies | Records and transcribes video calls. |
| FreeAgent | Accounts and invoicing, for clients only. |
| Vercel | Website hosting. |
Instantly, Anthropic, Fireflies, Vercel and Google are based in the United States, and Microsoft may also store some data there. Where personal data leaves the UK, I rely on the transfer safeguards in each provider's data protection terms, such as the UK Extension to the EU-US Data Privacy Framework or the International Data Transfer Addendum. Apify is based in the European Union, which UK law recognises as giving adequate protection. You can ask me which safeguard applies to each provider.
No decision about you is made by automated means alone.
Your rights
Under the UK GDPR you have the right to:
- object to the use of your data for direct marketing, which I will always honour;
- object to other processing based on legitimate interests;
- ask for a copy of the personal data I hold about you;
- ask me to correct data that is wrong or incomplete;
- ask me to delete your data;
- ask me to restrict how I use your data while a concern is looked into;
- receive your data in a portable format, where that right applies.
To use any of these rights, email mike.anderson@clearbuildconsulting.co.uk. There is no charge, and I will respond within one month.
Complaints
If you are unhappy with how I have handled your data, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
I will update this notice when the way I use personal data changes. The date at the top shows when it was last revised.
