Client work · Case study

Answering client onboarding questionnaires from the firm's own facts, not from memory.

Clear Build built a chain of skills that reads a client onboarding questionnaire, matches its questions against the firm's own source documents, and composes and renders a checked response. Where the firm's register cannot support an answer, the chain escalates to a person rather than guessing.

Chapter I. The problem

The same forms, at every stage, answered from memory.

The same forms arrive at tender stage and after award alike: competency assessments, insurance questionnaires, expressions of interest, tender return forms and post-award declarations.

The firm held a master answer set covering the narrative half of the questions only, with company facts such as insurance limits, policy dates and headcount held nowhere in it.

A document's currency cannot be read from its filename, so a maintained register with a named owner was a prerequisite rather than a refinement.

Chapter II. What was built

A register first, then a chain that answers only what the register can support.

A remediated answer set and a maintained document register came first, as deliverables in their own right, before any automation.

On top of them sits a chain of skills covering form parsing, a fact register, answer matching, an attachment manifest, response composition, a response check and rendering, with an orchestrator sequencing them.

Chapter III. The controls

Answer visibly less rather than produce a reference it cannot stand behind.

Producing a certificate reference the register cannot support is the exact defect the work exists to remove, so the chain is built to escalate rather than guess.

  1. A question the register cannot support is escalated to a person rather than answered.
  2. A capability the firm is working towards is held as a distinct state with a date, so a missing date escalates rather than silently becoming a no.
  3. A guard asserts that no other firm's name can reach a rendered response.
  4. Every ticket was verified by a fresh session that did not build it, and the verdict written to a verification record.
Chapter IV. The figure, and what kind of figure it is

Two estimates, and no multiple between them.

Before. Clear Build judgementOne to two hours

Clear Build estimates that answering one questionnaire took one to two hours of senior time.

Clear Build estimate. Not a timed study.

After. Clear Build judgementFive to ten minutes, plus a check

Clear Build estimates that the chain brings that to five to ten minutes plus a check at the end.

Clear Build estimate. Not yet timed on client work.

Chapter V. Where it stands

Built and tested, handed to the client for acceptance.

The chain is built and tested and has been handed to the client for acceptance. It was packaged and installed in the client's own Claude workspace for a supervised acceptance retest.

The next step is read-only access to the firm's document library, with nothing writing to a live register until it is proven.

No client quote appears on this page and consent to name the client was not sought.
